Privacy Policy

This policy explains how HAYK & SONS LLC (“Jewel Forms,” “we,” “us,” or “our”) handles personal information when you use the Jewel Forms jewelry production management service. A business that uses the service may also decide how information about its customers and employees is collected and used in its workspace.

Information we handle

• Account and profile information: names, business name, email addresses, usernames, display names, roles, profile pictures, and account preferences.
• Authentication and security information: password credentials in protected form, session and signup verification tokens, account status, and related security events. Do not send us your password by email.
• Production and customer information: job details, jewelry specifications, measurements, due dates, customer contact details supplied by a business, assignments, statuses, notes, and production history.
• Communications: messages, comments, notifications, invitation and join-request details, and information included in support requests.
• Files and images: photographs, profile images, CAD/design files, PDFs, STL or SVG files, and other work-related material users upload.
• Subscription information: subscription status, billing contact details, and Stripe identifiers or status information used to associate a subscription with a workspace. Stripe processes payment-card details; Jewel Forms does not store full card numbers.
• Technical and operational information: information needed to operate and protect the service, such as request and connection information, session activity, diagnostic details, and records of service actions.

How information is used

We use information as reasonably needed to provide and maintain Jewel Forms; authenticate users and manage accounts; support production jobs, teams, rooms, assignments, and workflows; facilitate communications between authorized users; process subscriptions through Stripe; send transactional emails through Resend; deliver configured notifications; protect accounts and the service; prevent fraud and abuse; troubleshoot problems; respond to support requests; and meet applicable legal obligations.

Customer jewelry and design files

Businesses and their users may upload jewelry-related production information, images, CAD/design files, documents, and other work material. The customer or uploader retains its rights in those files. Jewel Forms does not claim ownership of them and does not use customer jewelry or design files to train AI models. The person or business uploading material is responsible for having the rights and permissions needed to do so and to share it with the authorized workspace users.

Cookies and tracking

Jewel Forms currently does not use third-party analytics or advertising tracking services. We do not currently use Google Analytics, Google Tag Manager, Meta Pixel, Microsoft Clarity, Hotjar, PostHog, Mixpanel, Plausible, Segment, or similar analytics or advertising services.

The application uses necessary first-party cookies for core functionality, which may include authentication, sessions, security, signup, and billing flows. These are functional/essential cookies, not analytics cookies. We do not currently provide an analytics cookie banner because the service does not use non-essential analytics or advertising trackers.

If non-essential analytics or tracking is introduced in the future, we will update applicable privacy disclosures and controls. See the Cookie Policy.

How information may be shared

• Within a business workspace: with authorized owners, managers, employees, and other participants according to their roles and the production workflow. A private employee account email is not shown to other employees in ordinary team profile views.
• Service providers: with providers when needed to operate the service, including Stripe for subscription payments, Resend for transactional email, and providers supporting hosting, storage, or configured message delivery.
• Legal and safety reasons: when reasonably necessary to comply with law, respond to valid legal process, protect people or rights, investigate abuse, or secure the service.
• Business changes: as part of a proposed or completed business transaction, subject to applicable law and appropriate handling.

Jewel Forms does not sell customer personal information. We do not share it with advertising partners for targeted advertising.

Retention and deletion

We retain information while needed to provide the service and for reasonable operational purposes. A business manager can remove employees from a workspace, revoking their access and team memberships. Removal does not by itself erase historical business records or files. Contact us for help with an account or workspace data request.

We may retain limited information for legal, security, fraud-prevention, accounting, dispute-resolution, or legitimate operational purposes. Data may remain in backups or records for a period before it is overwritten or removed; we do not promise immediate permanent deletion of every copy.

Your privacy choices

Depending on where you live and the circumstances, you may ask to know about, access, correct, or delete personal information, or ask us a privacy question. Send requests to support@jewelforms.com. We may need to verify your identity or authority and coordinate with the business that controls the workspace. We will respond as required by applicable law.

Jewel Forms does not sell personal information or share it for targeted advertising. You can nevertheless save a browser-specific preference using Do Not Sell or Share My Personal Information, without creating an account. We store a random privacy identifier in a necessary first-party cookie for one year and a corresponding opt-out record on our server; this record is not linked to your account. Clearing or blocking cookies prevents us from recognizing the browser preference. More options are listed on our Privacy Choices page.

Security and children

We use reasonable safeguards intended to protect information, but no internet service can guarantee absolute security. See Security / Data Protection. Jewel Forms is a business service and is not designed for children to use independently.
